Admissions Assistant

Position purpose

Assist data entry specialist in filing and coordinating mailing of student documents/brochures. Assist admissions counselors with prospective students.

Major Responsibilities/Duties/Functions/Tasks

  • Customer Service – Greet, direct, announce visitors, provide administrative support
  • Switchboard Operator – Answer and route calls while providing basic information
  • Coordinate mailing to prospects, applicants and new students at the college
  • Serve as a tour guide to prospective students and their family
  • Clerical Duties – photocopy, fax, receive/sort/distribute mail

Citi Lab Support Assistant (Distance Learning)

Position purpose

Provide general part-time assistance to distance learning department.

Major Responsibilities/Duties/Functions/Tasks

  • Perform general maintenance duties around the lab such as filing, organizing and arranging video lab equipment
  • Assist in setting up audio / video recording equipment
  • Assist in classroom support of E-Stations and video lecture capture software
  • Assist in setting up webinars, conference calls and related equipment

Computer Lab Assistant

Position purpose

Computer Lab Assistants are responsible for providing assistance to the Vaughn College community. You are the first contact person for individuals seeking technical help with computer related issues. You will perform basic computer troubleshooting, including course specific software and printer maintenance. Computer Lab Assistants are responsible for maintaining a clean quiet work area for students.

Major Responsibilities/Duties/Functions/Tasks

  • Ensure overall customer satisfaction
  • Ability to work evenings, weekends and/or holidays to accommodate college needs
  • Assist in installation of software and hardware in all areas with computers
  • Troubleshoot software including Microsoft Office, Catia, Nastran, Patran, Solid Works etc
  • Run updates in the PC, CAD, Graphic, and Library Lab. (ex, anti-virus, Microsoft, Adobe, etc.)
  • Ensure printers have toner and paper, troubleshoot printing issues
  • Escalate difficult technical problems by seeking timely advice or assistance from technical support
  • Keep customer apprised of progress during maintenance or a down system situation
  • Any other job responsibilities as assigned within scope of position

Position purpose

To act as a Financial Aid Office Assistant for the Office of Financial Aid, providing assistance with general and administrative tasks relating to Financial Aid operations and programs. Financial Aid Office Assistant is responsible for maintaining a clean quiet work area for students.

Major Responsibilities/Duties/Functions/Tasks

· Prepares folders

· Make copies of student records

· Files documents as needed

· Schedule student/alumni appointments, handle office’s main phone line, and organize and file important documents

· Communicate with students and alumni regarding events and services

· Help promote office services and events to Vaughn community

· Assist students with FAFSA and TAP Application

· Provide overall general office administrative support

Mentor/Tutor (STEP & Upward Bound)

Position purpose

The Mentor/Tutor will assist high school students in achieving high school diplomas and enrolling into postsecondary institutions. The mentor/tutor will serve as a guide and as a tutor to participants in the STEP and Upward Bound program.

Major Responsibilities/Duties/Functions/Tasks

  • Assist in recruiting program students
  • Travel to participating schools and Vaughn College
  • Serve as mentor in order to increase motivation for college bound success
  • Tutor students in middle and high school level subject areas
  • Compile information and data for UB/STEP reports
  • Assist with monthly Saturday workshops
  • Maintain weekly contact with students
  • Perform related work as required

Student Affairs Assistant

Position purpose

The assistant will serve primarily to carry out the daily operations of the Student Affairs and Activities staff and assists in planning and organizing campus wide programming. The position involves a variety of duties, including: creating, editing, and publishing Student Affairs/Student Activities calendar/newsletters, selling tickets, working with the Campus Activities Calendar, organizing and publicizing events; and assisting the assistant director of student activities with program and meeting details.

Major Responsibilities/Duties/Functions/Tasks

  • Design and develop marketing materials, including but not limited to posters, flyers, newsletters
  • Attend and assist with campus wide events
  • General clerical duties including, but not limited to filing, data entry, type letters/minutes, notices and posters
  • Provide research assistance as needed, contribute ideas for campus events and activities
  • Assist the assistant director of student activities and other professional staff in student affairs

Tutor

Position purpose

Employee should be proactive in supporting Vaughn students and must demonstrate good academic standing. Also identify and help individual students who might need additional assistance.

Major Responsibilities/Duties/Functions/Tasks

  • Greet Students and visitors to TLC Area.  Tutor and login students on computer terminals.
  • Keep log of the students assisted/helped
  • Maintain daily TLC operation by keeping log of general student attendance/progress
  • Work with students one –on-one as well in a group
  • Perform daily office work as needed
