Career Services Assistant

Position purpose

To act as a Career Services Assistant for the Office of Career Services, providing assistance with general and administrative tasks relating to career services operations and programs.

Major Responsibilities/Duties/Functions/Tasks

  • Communicate with students and alumni regarding events and services
  • Search and post jobs and communicate with employers regarding posting details
  • Create posters and flyers for office events and programs using Publisher
  • Schedule student/alumni appointments, handle office’s main phone line, and organize and file important documents
  • Conduct internship, employment outcomes, and office service satisfaction surveys
  • Compile survey data in Excel for reporting purposes
  • Help promote office services and events to Vaughn community
  • Input information into Vaughn Career Connect student, alumni and employer registration system
  • Assist with communication and coordination during all major office events (career fairs, graduate school fair, workshops, industry speakers, and office trips)
  • Provide overall general office administrative support

Education and/or Experience Requirements

Candidates must be currently enrolled in a two- or four-year degree program at Vaughn College and must have minimum 3.0 GPA . 1-2 years relevant work experience in customer service or similar setting preferred.

Professional Skills

Excellent communication and writing skills. Superior customer service and coordination skills, quick learner. Highly organized and attentive, professional, neat appearance. Knowledge of Microsoft Word, Excel, and PowerPoint.

Reasoning Ability

Prioritizes responsibilities well. Detail oriented and ability to effectively multi-task, work independently and as part of a team.

Work environment and physical functions

This position is located in an office environment. Generally an employee needs to be able to sit, stand, and navigate within the office area. The office equipment either individually used or shared with a department is the responsibility of all employees.

Preferred:

Previous customer services experience preferred, but not required.

Strong computer skills, including Excel and Publisher preferred.

 

 

Citi Lab Support Assistant (Distance Learning)

Position purpose

Provide general part-time assistance to distance learning department.

Major Responsibilities/Duties/Functions/Tasks

  • Perform general maintenance duties around the lab such as filing, organizing and arranging video lab equipment
  • Assist in setting up audio / video recording equipment
  • Assist in classroom support of E-Stations and video lecture capture software
  • Assist in setting up webinars, conference calls and related equipment

Computer Lab Assistant

Position purpose

Computer Lab Assistants are responsible for providing assistance to the Vaughn College community.  You are the first contact person for individuals seeking technical help with computer related issues.  You will perform basic computer troubleshooting, including course specific software and printer maintenance.  Computer Lab Assistants are responsible for maintaining a clean quiet work area for students.

Major Responsibilities/Duties/Functions/Tasks

  • Ensure overall customer satisfaction
  • Ability to work evenings, weekends and/or holidays to accommodate college needs
  • Assist in installation of software and hardware in all areas with computers
  • Troubleshoot software including Microsoft Office, Catia, Nastran, Patran, Solid Works etc
  • Run updates in the PC, CAD, Graphic, and Library Lab. (ex, anti-virus, Microsoft, Adobe, etc.)
  • Ensure printers have toner and paper, troubleshoot printing issues
  • Escalate difficult technical problems by seeking timely advice or assistance from technical support
  • Keep customer apprised of progress during maintenance or a down system situation
  • Any other job responsibilities as assigned within scope of position

Position purpose

To act as a Financial Aid Office Assistant for the Office of Financial Aid, providing assistance with general and administrative tasks relating to Financial Aid operations and programs. Financial Aid Office Assistant is responsible for maintaining a clean quiet work area for students.

  • Prepares folders
  • Make copies of student records
  • Files documents as needed
  • Schedule student/alumni appointments, handle office’s main phone line, and organize and file important documents
  • Communicate with students and alumni regarding events and services
  • Help promote office services and events to Vaughn community
  • Assist students with FAFSA and TAP Application
  • Provide overall general office administrative support

Flight Simulator Lab Support Assistant

Position purpose

To support Vaughn’s flight degree programs by assisting lab manager and students with clerical work and basic maintenance in flight simulator lab environment.

Major Responsibilities/Duties/Functions/Tasks

  • Scheduling students and assistance in assigning lab simulator instructors
  • Reporting simulator discrepancies immediately to sim lab manager, filling out discrepancy reports
  • Basic maintenance of simulator equipment (cleaning, vacuuming, assuring good appearance)

Writing Center Assistant

Position purpose

Vaughn College is seeking a work-study student to assist the Writing Center staff in the day to day operations. The assistant will work closely with the instructors, and Director of the Writing Center to provide students, faculty and staff, with a productive Writing Center experience.

Major Responsibilities/Duties/Functions/Tasks

  • Greet students, describe services offered, and schedule tutoring sessions for students requesting Writing Center Assistance
  • Work closely with the Writing Center Instructors on student logs and Writing Center materials
  • Administer exercises or worksheets produced by the Writing Center
